Summary of discussions and outputs from the April committee meeting

This year's AGM will be on Wednesday 20th June @ 7pm. We will also use the meeting for the EGM (Extra-ordinary General Meeting) to agree to move the joint club forwards. Key agenda items for the AGM will be;
○ Share the outputs of the 2019 league restructure
○ GDPR implications
○ Implications of the joint club & the joint committee responsibilities
○ A demonstration of Pitchero functionality
○ Club accounts
○ Membership

An end of season survey to be sent out in the next week to gather feedback from all club members ahead of the AGM.

As a club we need to ensure we comply with the new General Data Protection Regulation (GDPR) rules for next season. As a result we will be looking to create a separate form for people to complete to either opt in or opt out of emails & text message communications & to clearly share how we will use and store any information provided to the club.

We have been working with Bill Heywood from the men's club to create a transition document that advises juniors & their parents on moving up to senior hockey. Really useful document that will be finalised and shared with the relevant juniors this summer.

The first joint club committee meeting will take place in May with the aim to start the conversations on aligning on topics like membership, GDPR, Development planning , kit, use of the website & communication and sponsorship.

We have proposed 3 rule amendments for consideration at the Warwickshire hockey league AGM on the 15th May and are working to gain support from other clubs to get these changes voted in;
○ Increase the number of registrations possible when you have 5 teams in the league
○ Align registrations to one location instead of multiple
○ Move away from the 12 games played rule and replace this by increasing the number of starred players in the midlands league from 6 to 8 and limiting the number of players that can play down in any one game

We have made good progress on safeguarding with Captains this season and there was only one concern raised during the season which is being monitored. Reminder to reach out to Karen Slater if you have any concerns.

For playing kit the plan is still to align with the men's club and agree a new kit provider for the 2019-20 season. Starting to review what providers can offer in terms of colour, price & quality.

○ Our annual charity ball is on Friday 18th May, tickets are nearly sold out so get yours now if you haven't already!
○ Are you interested in coaching? Spaces available on an introduction to coaching course July 1st 10am - 4pm
○ Last back to hockey session currently planned is this Sunday at Vesey 11.30 - 13.00, encourage friends and family who want to have a go to come along
○ AGM & EGM for the joint club Wednesday 20th June @ 7pm at the club house.
○ Club day will be on Saturday 1st September
